The Scattered Site Housing Program (SSHP) –provides 270 scattered site-housing units to HIV/AIDS Services Administration (HASA) clients.  All the units are leased in the agency’s name.  Sixty Seventy units are dedicated for families and 203 units are for single individuals.  The program has two components to assist clients succeed in housing, socials services and operations.  Case management staff focusses on removing barriers to maintain medical care and achieve viral suppression by ensuring that all clients’ basic needs are met and that clients are connected to needed services, such as mental health and substance abuse. The operations component focuses on the housing units meeting habitability standards by working with landlords and management companies to address major repair issues and complete minor repairs, as well as identifying new units, negotiating leases and making units ready when there is a vacancy.

What The Program Assistant Does:

  • Conduct bi-annual (or as needed) chart reviews to ensure that all program documentation is filed properly, current and up to program standards.
  • Maintain & Order office supplies for the Program and inventory.
  • Document preparation; create all new client documentation prior to acceptance or internal moves, and create new charts prior to client’s full acceptance into the program.
  • Take meeting minutes/notes.
  • Maintain client data documentation by tracking client’s HIV/medical updates in a spreadsheet for quarterly reports, income for monthly billing reports, and preparation of any upcoming Occupancy Agreements/Tenant Bill of Rights
  • Maintaining the programs database such as the shared document drive and scan and upload documents within the Shared Medical Report Drive
  • Compliance maintenance such as track upcoming lease renewals to update program documentation (Occupancy Agreements, Tenant Bill of Rights, HOPWA Rent Calculator) to ensure program compliance with funder requirements.

Minimum Education/Experience Required:

  • High School Diploma, GED, or higher preferred.
  • Sufficient education and technical expertise: to comprehend written and oral instructions (work orders); basic math to accomplish maintenance tasks; and to document accomplished tasks.

Other Requirements:

  • Two years of relevant experience, preferably in a mid-sized (250+ employees) organization.
  • Good written & verbal communication.
  • Computer literacy in Microsoft Office Suite.
  • Bilingual Skills preferred.

Compensation: $40,000 annually
When salary ranges are listed, the range would represent the low and high end for the applicable position & program. The salary offered would be based on various factors unique to each program and candidate. This includes but is not limited to experience, education, budget and/or program size, internal equity, skills and other factors that may be required for the position and organization.

Status: Full-time (35 hours per week)
